General Practice Management System

Practices do of course already have various administrative systems in place, but almost always these systems are quite independent of each other and thus involve significant duplication of effort - bringing the risk of inconsistencies between systems as well as making the tasks involved far more time-consuming. With PriDoc there is no duplication whatsoever, and the need for transferring information between systems, or performing manual calculations, is completely avoided. This brings huge advantages in terms of time-saving, and accuracy.

Further PriDoc modules (including Significant Events, Risk Analysis, Accounts, Payroll, Locums, Intranet, Drugs Management and Private Work) are also being developed, so that the system will build up into a truly comprehensive and integrated GP management tool (the first of its kind). The core system now available comprises the Scheduler, Personnel, Recruitment and Communications modules, providing the following functionality:

  • Having entered the details of employees' shift patterns (which may repeat every one, two or more weeks), graphical weekly, monthly and yearly 'planners' can be displayed and edited - allowing overtime, and sickness/holidays etc., to be added alongside the affected shifts. This provides the Practice Manager with an exceptionally efficient means of organising and monitoring all staff attendance and absence, as well as Payroll Reports detailing basic pay, overtime, and also any SSP/SMP etc. for input to 3rd party Payroll systems;
  • Partners' rotas and holidays can also be entered, viewed and edited, and Locum sessions can be added to the same view. As above, this provides an invaluable tool for planning, monitoring and displaying GP surgeries;
  • Information on employees' jobs and pay grade details (current and historical), and their training, appraisal, disciplinary and grievance events, is organised in a way that ensures the Practice Manager can easily (subject to appropriate password protection) maintain and access complete, up-to-date personnel records;
  • For new vacancies the system facilitates the generation of all the appropriate documentation (invitations to interview, reference requests, person specification, interview schedule, offer/rejection letters, etc.), as well as the subsequent Contract of Employment, Job Description and induction programme: these can be built from editable templates or simply selected from previously saved versions. As well as a allowing for significant timesaving in the recruitment process, this facility ensures that the key documents are consistent and fully compliant with statutory requirements and Practice policy;
  • Using the database of all the Practice's contacts (e.g. Partners, Employees, suppliers, PCT officers, hospitals/other providers, local/national authorities, professional bodies, etc.), memos, letters and faxes can be quickly generated, and saved.

In addition to these documents, details of any other encounters (e.g. telephone calls, meetings) can also be entered, enabling the Practice Manager to maintain an extremely useful, searchable record of orders placed, promises made, faults logged, queries raised etc.

There are numerous of other, specific features within this core system that will prove to be very useful to Practice Managers. The System has also been designed to cater for Multi-Practice and Multi-Site organisations, as well as Multi-Job employees.
